Table Status (Available, Occupied, Reserved, Booked, Maintenance)
Table status helps you track the current state of each table in real-time. Understanding and managing table statuses is essential for efficient restaurant operations. This guide explains all table statuses in EquiBillBook.
Understanding Table Statuses
Tables in EquiBillBook can have the following statuses:
- Available: Table is free and ready for booking
- Occupied: Table is currently in use by customers
- Reserved: Table is reserved for a future booking
- Booked: Table has an active booking
- Maintenance: Table is unavailable due to maintenance or repairs
Status Transitions
Tables move through different statuses during their lifecycle:
- Available → Table is free
- Reserved/Booked → Customer makes a booking
- Occupied → Customers arrive and are seated
- Available → Customers leave, table is cleaned
Available Status
When: Table is free and ready for new bookings
- Table appears in available tables list
- Can be booked by customers
- Shown in green or available color on floor plan
- Ready for immediate seating
Occupied Status
When: Customers are currently seated at the table
- Table is in active use
- Cannot be booked for new reservations
- Shown in red or occupied color on floor plan
- May have active KOT (Kitchen Order Ticket)
- Staff can update status when customers leave
Reserved Status
When: Table is reserved for a future booking
- Booking is confirmed for a future date/time
- Table is held for the reservation
- Shown in yellow or reserved color on floor plan
- Cannot be double-booked
- Automatically changes to Booked/Occupied when reservation time arrives
Booked Status
When: Table has an active booking
- Booking is confirmed for current or upcoming time
- Table is allocated to the booking
- Shown in blue or booked color on floor plan
- Customer details are linked to the booking
- Changes to Occupied when customers arrive
Maintenance Status
When: Table is unavailable due to maintenance
- Table is out of service
- Cannot be booked or used
- Shown in gray or maintenance color on floor plan
- Staff can add maintenance notes
- Can be scheduled for maintenance periods
Updating Table Status
To update a table's status:
- Go to Restaurant Tables or Floor Plan
- Select the table
- Click on "Change Status" or status indicator
- Select the new status
- Add any notes if required
- Save the update
Automatic Status Updates
The system automatically updates statuses when:
- Booking is created → Status changes to Reserved/Booked
- Booking time arrives → Status may change to Booked
- Customers are seated → Status changes to Occupied
- Booking is cancelled → Status changes to Available
- Maintenance is scheduled → Status changes to Maintenance

Table statuses are visually represented on the floor plan:
- Color-coded indicators for quick identification
